AUTOMATED TENANT WORK ORDER MANAGEMENT

Overview

Today’s tough economy demands streamlined, automated end-to-end business processes to increase productivity, lower costs and enhance customer service.  Real estate management companies are increasingly finding opportunities to realize these benefits by automating their Tenant Work Order Management process.

Traditional Approach

For many Real Estate management companies, receipt, collection and management of tenant work orders is an expensive process that frustrates both tenant and real estate management company.  Real estate managers must often administer rules that differ by tenant regarding scope of work, prioritization and escalation protocols, and service level agreements.  Additionally, work order requests from tenants are typically submitted in different formats and media that are disconnected from JD Edwards (i.e. phone, e-mail).  Once tenants submit their work order request, real estate management company staff must perform manual activities to validate the work order request and enter valid work orders in JD Edwards.  In this traditional approach, Tenants and Real Estate Management personnel have limited visibility into the status of open work orders, and virtually no ability to report on work order trends and other analytics.

Comprehensive, Automated Solution

Companies can drive down operating costs and strengthen tenant goodwill (and revenues) by implementing a web-based, PDA-enabled work order management and supply solution that is directly integrated with JD Edwards.   Tenants enter work order requests through a web portal.  These requests are automatically validated against business rules in JD Edwards.  Commercial real estate management personnel review and prioritize requests, and initiate work orders through the portal.  These work orders are automatically opened and tracked in JD Edwards with frequent data exchange between JD Edwards and the web portal to enable tracking and reporting by tenants, employees and service providers.

By automating the introduction of work orders by tenants, and integrating it with JD Edwards, tenants and real estate management company personnel can effectively manage the work management process.
